Managing Company-Level Workers’ Compensation Codes


Background

Workers’ compensation is a type of insurance that compensates employees who are injured or become ill as a result of performing their job duties.  Each state governs how workers’ compensation insurance is administered. For further information, see “What Is Workers’ Compensation? 

This is an optional feature you can use to keep track of employee payroll dollars by workers comp code. The codes you use can be reported on to help determine the amount of workers’ comp premium owed to the provider.  After you have added the workers’ comp codes used by your company, you can then assign them at the employee level, and report payroll dollars by workers comp code. Your workers’ compensation insurance provider will calculate your premiums based on the wages you have paid under each code.

If you are an ERGO NEXT Insurance (formally AP Intego) Pay As You Go workers’ comp customer and utilizing Patriot’s free integration for pay-as-you-go workers comp insurance, adding company-level workers’ comp codes will be required for running payrolls.  For more details, see Pay As You Go Workers’ Compensation Insurance.

💡 For businesses in Washington and Wyoming, workers’ compensation is handled as a required tax in Patriot Software, and you will need to enter your premium rates and codes in a different part of the software.  For more information, see the following help articles:


How to Add Workers Compensation Codes

  1. Go to Settings > Payroll Settings > Workers’ Compensation Settings
  2. Click “Add Code.
  3. Select the state from the dropdown menu.
  4. Enter the code assigned. 
  5. Enter an optional description for the code.
  6. Click “Save” or “Cancel.”

How to Edit a Workers Compensation Code

  1. Go to Settings > Payroll Settings > Workers’ Compensation Settings
  2. Click the “Edit” icon in that row.  
  3. Make changes in the appropriate fields for that code.  
  4. Click “Save.”

How to Delete a Workers Compensation Code

  1. Go to Settings > Payroll Settings > Workers’ Compensation Settings
  2. Find the row of the workers comp code you want to delete
  3. Click the trashcan icon at the end of the row.
  4. Click “Yes” to the confirmation modal to continue with deletion.

Note that if this code has been assigned to an employee and a payroll is run, this code will still appear in the Workers Comp Wages Report.
