I need payroll data for the SBA PPP

If you are a Patriot payroll customer and you need to find your average monthly payroll to apply for the Small Business Administration (SBA) Paycheck Protection Program (PPP), here is where you can find your payroll data in Patriot Software:

Payroll Details Report

Find the Payroll Details Report under Reports > Payroll Reports > Payroll Details.

For Company Payroll Totals:

  • Enter the Start and End Dates you need.
  • Make sure all of your employees are selected, and all Sources are selected.
  • For “Group By,” choose “Totals.”
  • Click “Run Report.”
  • The total Earnings will be in the top left section.

For Totals By Employee:

Run the report again, but change the “Group By” to “Employee” to see totals for each employee for the date range.

941 (or 944) Quarterly and 940 Annual Tax Reports

Full-Service Payroll Customers: Find your Form 941s and 940 under Reports > Payroll Tax Reports > Tax Filings. Select the tax year and click “Run Report.” They will be in the quarterly tax filing packet PDF.

If you are a small business that normally owes less than $1000 in federal taxes per year, you will have a Form 944 instead of a 941. You will have either a 941 or 944, but not both.

Basic Payroll Customers: Find your Form 941s and 940 for past quarters under Reports > Payroll Tax Reports > 941s. Select the year and quarter you want to download. Note, these 941 forms are only partially completed. The 940 is also found under Reports > Payroll Tax Reports > 940s.

W-3 Summary

If you need to find your W-3 information, go to Reports > Payroll Tax Reports > W-2 & W-3 Summary. Note, you won’t be able to print an actual Form W-3, as Patriot only generates a text file for electronic filing. This report should suffice for what banks need for your company totals.

In the report dropdown, choose “Company W-3 Summary,” select the year, and click “Run Report.”
