How to set up Maine PFML
Marking your company exempt from Maine PFML
Background
Maine’s Paid Family and Medical Leave (PFML) program allows eligible employees to take up to 12 weeks of paid leave each year for family or medical needs. Payroll contributions for the program start on January 1, 2025, and employees can begin using benefits on May 1, 2026. The law applies to any employer who has at least one Maine employee.
- Beginning in January 2025, Employers should register for PFML with their business information on the state’s website.
Patriot Software will calculate the Maine Paid Family Medical Leave for all payroll customers in Maine based on the contribution settings set in the software. Full Service customers who have completed their tax filing setup will also have the contributions collected, remitted, and filed on their behalf.
For calendar years 2025-2027, the combined contribution rate is set at either 0.5% or 1% of wages based on the size of the employer. Please refer to the state’s documentation to determine the employees you paid in the lookback period of October 1, 2023 – September 30, 2024.
Maine PFML contribution rates
Employers with Fewer than 15 Employees:
- Total Contribution: 0.5% of employee wages.
- Employer’s Share: None required.
- Employee’s Share: Up to 0.5% of wages, which the employer may deduct from the employee’s paycheck.
Employers with 15 or More Employees:
- Total Contribution: 1% of employee wages.
- Employer’s Share: 0.5% of wages.
- Employee’s Share: Up to 0.5% of wages, which the employer may deduct from the employee’s paycheck.
How to set up Maine PFML in payroll
- Go to Settings > Payroll Settings > Paid Family Medical Leave.
- Answer the first question to get started, “Are you required to pay the 50% employer share of the ME PFML contribution?”
- Choose “Yes” if you have 15 or more employees. You are required to contribute the employer’s share of the premium.
- Choose “No” if you have fewer than 15 employees or if you have an approved private plan. You are not required to contribute the employer’s share of the premium. Choose the reason you are exempt and the effective date.
- Answer the question “Do you want to pay a portion of your employees’ contribution?”
- If you want to pay any part of the employee share of the Maine PFML, select “Yes.”
- Choose your desired percentage of employer and employee contributions and click “Save.”
- If you do not want to pay any part of the employee share, select “No” and click “Save.
- If you want to pay any part of the employee share of the Maine PFML, select “Yes.”
