How To Run A Payroll in 3 Easy Steps

Ready for easy payroll? Great! Here’s how to run your payroll with Patriot Software in three easy steps:

Step 1: Enter Payroll

  1. From the Payroll menu, click “Run a New Payroll.” This will take you to the “Step1: Payroll Entry” screen with all of your active employees listed.
  2. Select your Pay Schedule, or choose Off-Cycle to pay a payroll that is seperate from a normal payroll.
    • The eligible employees assigned to the pay schedule will be displayed on the screen based on their status and effective date.
    • If you have not completed your pay schedule setup, you will need to enter in dates, but we highly suggest setting up your pay schedules so dates will be filled in for you.
  3. Enter the number of regular and overtime hours worked for each hourly employee you want to pay.
  4. To pay an employee additional hours (for vacation, holiday, etc.) or money (bonuses, commissions, etc.) toggle the “Show hours/money at the top of the payroll screen.
  5. Salaried employees are automatically paid their regular pay rate unless you change uncheck the Pay Salary box to “No.”
  6. If you are paying 1099 contractors on this payroll run, check the box “Pay 1099 Contractors” to proceed. 
  7. When you’ve finished entering your employee hours, click Next Step to go to Step 2.

Step 2: Approve Payroll

  1. On the “Step 2: Approve Payroll” screen, you’ll see a summary of each employee’s check.
  2. Click “View Details” to see each employee’s paycheck detail, including any deductions or taxes, and your total payroll tax liability (if you are a Full Service Payroll customer).
  3. You can go back to Step 1 and edit your payroll if needed.  When you’re satisfied with the paychecks, click Approve Payroll.

Step 3: Print Paychecks

  1. On the “Step 3: Print Paychecks” screen, you can choose to print your checks immediately or save them to print later.
  2. You will download a PDF of your checks or pay stubs.  
  3. Your checks will need to be printed on your pre-printed check stock.  
    • If you handwrite your checks or use direct deposit, the paystubs would be printed on plain paper.
