Geotagging Status Report


Background

The Geotagging Settings Report includes both employer-assigned requirements and employee-controlled settings—like consent to use location data and whether location services are enabled on their device. It also shows when employee settings were updated in the mobile app, so you can quickly spot employees who may be blocked from punching in.


How to Use the Geotagging Status Report

  1. Go to Reports > Time and Attendance > Geotagging Status

    By default all active employees with a time punch entry type are listed on this report.  Read our help article for more information about setting geotagging requirements for time stamp entry employees. 

  2. Show inactive employees, if needed.

    Toggle the “show inactive” to view inactive employees including those with a status marked ‘Inactive,” “Leave of Absence,”  or “Terminated.” 

  3. Filter the report, if needed.

    Filter the report further by work locations or managers, if needed.

  4. Click “Run Report.”

How to Read the Geotagging Status Report

  • Each row in the Geotagging Status Report shows an employee’s current geotagging setup and whether they’re able to clock in, based on their settings.
  • If geotagging is Required but either location services or data use consent isn’t enabled, the row is highlighted and a warning icon is displayed for easy identification.

The time punch employee’s name, is displayed in Last Name, First Name format. *A warning icon appears if the geotagging is Required and either of the necessary settings is missing.
Geotagging

The geotagging requirement assigned by the employer: Off, Optional, or Required
Data Use Consent
(Employee controlled)
Displays whether the employee has Granted, Denied, or Not Yet Set consent to GPS tracking. The exact date and time the employee saved this setting also is displayed.
Location Services
(Employee controlled)
Displays whether the employee’s device has geolocation permissions On, Off, or Not Yet Set. and the *time stamp last checked.

*Location services timestamps record the last time permissions were updated. The app checks for location access each time the employee logs in.
 
EE Status
(Employer controlled)
(Employer controlled) Active, Inactive, Leave of Absence, or Terminated.
By default only employees with an Active status will be displayed. 

FAQ about the Geotagging Status Report

The report only shows employees with a time punch entry type and defaults to those with an active status.

  • To toggle show all employee statuses, toggle the “Show Inactive” at the top of the report.
  • To view all time entry types for  employee time cards, use the Employee Time Card Settings.

The employee may not have opened been using the app to record their time if geotagging is set to Off, or Optional.

If geotagging is Required, and either consent or location services is not enabled, the employee won’t be able to clock in. The report will flag these employees for quick identification by highlighting the row and display warning icon.

Geotagging settings are controlled by the employer under Employee Time Card Settings. You can set it to Off, Optional, or Required for each employee based on your time tracking policies.

Employees who are set to “Required” for geotagging must use the mobile app so geotagging can be recorded. They will not be able to clock their time in the app unless all permissions are set correctly.

  • Consent is recorded at the moment the employee makes a selection in the app.

  • Location services are checked whenever the employee logs in or reopens the mobile app. The report shows the most recent status with a “Last checked” timestamp.

No. For privacy reasons, only the employee can grant consent and enable location services on their device. These settings must be updated by the employee through the app or employee portal.

Yes. Salary employees can have geotagging as long as the entry type is “time punch.”
