Customizing Your Invoice Templates

Background

Accounting Premium customers can customize the layout of customer invoices, credit memos, and estimates in Patriot Software. You can upload your business logo, choose a template layout, and pick an accent color that appears on the PDF versions of these forms.

The template you choose will apply to all three forms: invoices, credit memos, and estimates.


How to Customize the Invoice, Credit Memos and Estimates Template

  1. Go to Settings > Accounting Settings > Email and Document Templates > Invoice Templates.
  2. Review your email address and mailing address.
    This information defaults from your company settings. To update it, go to Settings > Company Settings > Company Info.
  3. Customize the fields in the invoice email template, if needed.

  4. Add a default invoice note, if needed.
    You can enter an optional default note, up to 500 characters, that will appear on all customer invoices. You can edit this note for a one-time change when creating an individual customer invoice.
  5. Choose your invoice template. Preview each template, then select the one you want to use.
    You can select one of three template layouts:
    • Traditional
    • Bold
    • Minimal
  6. Upload your business logo, if needed.
    • Drag and drop your logo file into the upload box, or click Choose File to select an image from your computer.
    • Then click Upload. Your logo file must meet these requirements:
      • File size must be smaller than 4 MBAccepted file types: .JPEG, .JPG, .PNG, and .GIFImages larger than 150 pixels high will be resized to fitAfter uploading, you will see the logo image and file name. You can upload a new logo or delete the current logo to remove it from your invoices.
      Note: The logo upload feature is also available to Accounting Basic customers. For more information, see Adding a Business Logo to Customer Invoices.
  7. Select your accent color.
    Use the slider bar on the right side of the color selector to choose a hue. Then click in the color box on the left to choose a shade. If you know the exact six-character hex color code, you can enter it in the color selector.
  8. Click Save Settings.

Your customized layout will now appear when you print or email PDF versions of your invoices, credit memos, and estimates.
