Employee Pay Frequency Setup

Background

The choice of pay frequency can impact both employers and employees. Employers may consider factors such as administrative workload, cost, and industry standards when choosing a pay frequency. Employees may have preferences based on their budgeting needs and financial obligations. These pay frequencies are used by state and IRS–in addition to the employee W-4 or state forms– to calculate appropriate withholding for taxes. Visit your state or the IRS for detailed withholding information.

At the time you add employees, you will choose your pay frequency (aka Pay schedule) for your employees.

  • Weekly: Employees are paid every week, resulting in 52 paychecks per year.
  • Bi-weekly: Employees are paid every two weeks, resulting in 26 paychecks per year.
  • Semi-monthly: Employees are paid twice a month, resulting in 24 paychecks per year.
  • Monthly: Employees are paid once a month, resulting in 12 paychecks per year.
  • Semi annually: Employee are paid twice a year usually 6 months apart
  • Annually: Employees are paid once a year.

How to Change an Employee Pay Frequency/Pay Schedule

You may change the employee’s pay frequency directly on their employee record.

  • Go to Payroll > Employee List > {Employee name} > Pay info.
  • Click “Edit”
  • Under Payroll Info select the “pay frequency” from the drop down.
    • If you are using our enhanced pay schedules (in beta for select customers), select the “pay schedule.” Employee pay schedules are created by default based on the pay frequency you have chosen for employees.
