Pricing & Billing – Payroll Software Cost FAQs

June 27, 2018

What does your payroll software cost?

We set a fair price for our payroll software, according to the size of your business. There are no hidden fees and no surprises — just a low monthly cost based on the number of your employees. Compare our Basic and Full Service online payroll options to estimate your monthly software fees.
Note: Our monthly fees may be subject to state sales tax, depending on your state.

What does my monthly service fee include?

Patriot’s monthly service fee includes a base price for every module you are using, including our Basic Payroll, Full Service Payroll, or any of our add-ons, plus a per-employee charge. For example, if you used our Basic Payroll Software to create checks for five different employees during a given month, your next service fee invoice would include the base fee and charges for the five employees. If a new employee is paid or if an employee is terminated during the billing cycle, we will automatically adjust your invoice accordingly.

How often do you raise your payroll pricing?

We rarely raise our prices. However, we reserve the right to modify our pricing at anytime for any reason without notice.

Will I have to pay for technical support help?

Probably not. Patriot Software gives you easy answers when you need them. Need a payroll term defined or more payroll training? Just click on the help screens, training articles, or videos. Or, email us your question. We also offer free phone support and online chat for routine issues. If you need premium support, our customer support department can help you at a reasonable rate. See our Software Support Philosophy for more details.

How much will it cost to provide direct deposit to my employees?

There’s no additional software charge for providing direct deposit to your employees.  See the Direct Deposit FAQs page for more info.

Will my payroll software costs change if I issue a large number of paychecks?

Patriot charges by the number of employees paid per month, not the number of paychecks. So go ahead and issue as many paychecks as you would like whenever you need to run payroll.

What methods of payment do you accept for software and service fees?

Patriot Software accepts credit or debit cards from Visa, Mastercard, American Express, and Discover as the only form of payment for your software and service fees.

If I am a Full Service Payroll customer, what methods of payment do you accept for payroll taxes?

Patriot Software only collects payroll taxes by debiting your bank account. Payroll tax payments cannot be made with a credit card.

If I am a Full Service Payroll customer, when will you collect my payroll taxes?

We collect payroll taxes each time you run a payroll or enter a payroll edit. Generally the funds are withdrawn from your bank account one day before the check date. You will see the exact date the funds will be withdrawn at the time you preview your payroll. You can also find the information under the Billing Activity page.

I’m in a free trial of the payroll software. Why do I have to enter my credit card information?

You will need to enter a valid credit or debit card to run payroll. Don’t worry though, your credit card will not be charged until your free trial is over. When your trial is over, you will be billed our low monthly price based on the number of employees you have run payroll for that month.

What happens if my credit card expires?

You will receive an email notification before your credit card is going to expire. After your credit card has expired, you will need to enter a valid credit card number to run payrolls.

How does your billing cycle work?

Patriot Software bills in arrears for the previous month. We issue software/service fee invoices and charge your debit/credit card on the first day of every month for the previous month’s service.

What if I add or cancel services in the middle of a month?

You will only be charged for the portion of the month that the software or service was active. If a product is added and cancelled multiple times within the month, we will charge from the first day that the product is active to the last day it was cancelled in the billing cycle.

I have a promo code for one month free. If I sign up in the middle of a month, how does this work?

We will prorate your first bill so that your first month is free. For example, if you sign up February 10, your one free month expires March 10. Your first bill would be issued April 1, prorated for March usage from March 11 to March 31.
