Adding Your Company Tax ID Information in the Accounting Software

Background

Before you can make any payments to your vendors, you must enter your business tax identification number that you use to file your taxes. This tax ID number will be used to report the payments to the IRS and will appear on your forms 1099 and 1096.

Note: This article is specific to Accounting customers who have never had the Basic or Full Service Payroll.

If you are already a payroll software customer, the company federal Employer Identification Number (EIN) already entered on your Company Tax Settings page will be used automatically. The Company Tax ID link will not appear, and you can skip the following steps. However, if you are not a payroll customer, you will need to enter either your federal EIN or your Social Security Number (SSN) on the Company Tax ID page.

To add your tax ID to the accounting software:

  • Go to Settings > Accounting > Accounting Settings > Company Tax ID
  • If you try to create 1099 forms without a Company Tax ID, you will see a message. Click Enter your Company Tax ID.
  • Enter your EIN or your SSN, whichever you use to file your taxes.  Use your SSN only if you do not have a federal EIN.
  • Click Save.

To edit a company Tax ID:

There are many things that can be affected by changing your company tax ID. If you have entered an incorrect number and filed forms with it, you will need to file corrected forms.

To change your SSN in the software (used as a company id):

  • Go to Settings > Accounting > Accounting Settings > Company Tax ID
  • Update the SSN field with the correct number
  • Be sure to file corrected forms if you have used this number for any company tax filings such as 1099s and 1096s.

To change your FEIN in the accounting software:

  • Please email our support team with your correct FEIN to update your FEIN in the software.
  • Be sure to file corrected forms if you have used this number for any company tax filings such as 1099s and 1096s.

Patriot Software does not handle filing corrected 1099s/1096s.
