We made this accounting solution simple by design. You do not need any special training to track income and expenses, generate customer invoices, or print reports for your accountant. There are plenty of help articles and videos to learn how to use the software.

Yes, our Accounting Basic Software and Accounting Premium Software are both standalone products. While we’d love for you to try our award-winning payroll products, they are not required to use our accounting software.

We integrate with Stripe, a third party processor to provide you and your customers with a seamless payment experience. You can apply for a Stripe account right in our software.

Patriot Software does not charge for credit card processing in the accounting software; however, Stripe has a standard fee schedule.

Yes! You can easily import data from your previous accounting software provider. Our accounting software allows for importing of vendors and contractors, customers, trial balance, and charts of accounts.

There is no limit to the number of bank transactions you can import from your bank account.

We use a third party to securely and seamlessly integrate your bank transactions, Plaid, Inc. Plaid supports most major banks and credit unions. However, you will need online banking access with your bank.

Patriot Software has a unique patented cash-to-accrual basis toggle that will display your financial reports in cash or accrual basis with the simple click of a button. This means you can use the easy-to-understand cash basis for everyday entries, but can give your accountant the needed information in accrual-basis reporting.

This toggle doesn’t “convert” the cash-basis entries to cash- or accrual-basis accounting. It makes entries in each format and stores the data so it is ready for accurate reporting.

Patriot’s Accounting Basic and Accounting Premium both integrate seamlessly with Patriot Basic Payroll and Patriot Full Service Payroll.

Yes. You may run a payroll whenever you need to in the payroll software. And, at no additional charge!

Yes. You may begin using the payroll application at any time during the year. You will want to make sure you enter all of your employee payroll history in the software so end-of-the-year W-2s are accurate. (We can help! We offer free payroll setup to help you get your account set up and can enter all payroll history for you.)

Pricing & Billing

In the months you don’t run payroll, you will only be charged the base price for the payroll.

There’s no additional software charge for providing direct deposit to your employees.

Patriot Software accepts credit or debit cards from Visa, Mastercard, American Express, and Discover for your software and service fees.

Direct Deposit

We will only accept applications from small business owners using a commercial/business bank account for their payroll.

Patriot offers a few direct deposit options to meet our customers' needs: free, expedited 2-day direct deposit for qualifying customers; standard 4-day direct deposit; and payroll prefunding. Your money will be ACH debited from your bank after you run payroll.

Technical

Since our payroll software is online, you only need access to a web browser and the Internet. There’s no software to download.

When building solutions, they are designed to be highly secure, performant, and scalable. Solutions are built on a cloud provider giving us the ability to quickly respond to outages and threats. Patriot Security & Systems Team is notified immediately when monitoring systems detect abnormal activity.

We utilize a diverse set of technologies to safeguard your data. Policies are implemented to ensure that these technologies are properly installed and maintained. Third-party audits are conducted to verify we meet industry standards.

Full Service Payroll

Our Full Service is perfect for small to large businesses in the USA and handles all employee taxes and most employer taxes, including federal, state, and local taxes.

Patriot collects and files Workers’ Compensation Insurance for Washington and Wyoming. For other states, we do offer free integration with NEXT Insurance, who offers Pay-As-You-Go Workers’ Compensation Insurance.

Yes, we file in all 50 states. However, there is a $12 fee for each additional state that we file in.

Unfortunately, we don’t handle the IRS Form 943 at this time. However, it’s on our radar, and we look to offer this sometime in the near future!

No. While you can set up custom deductions and contributions, Patriot Software does not handle the remitting of these funds to the proper agencies at this time. However, it’s on our radar, and we look to offer this sometime in the near future!

After you have completed your tax filing setup, Patriot Software will collect payroll taxes on approved payrolls usually the first banking day before the pay date. If payroll is run on the same day as the pay date, payroll taxes will be collected on the next available banking day.

Patriot’s Time & Attendance is an online time and attendance system that works with our online payroll and the MY Patriot Employee Portal software. Time & Attendance is an add-on module to our online payroll system, and can’t be used as a standalone product.

Patriot’s Time & Attendance Software is a great alternative to a traditional time clock system. Employees have access to the MY Patriot Employee Portal, where they can record the time they clocked in and out, see their remaining vacation hours, and enter comments.

A software-based time & attendance system simplifies the collection of hours for payroll processing by seamlessly entering employee hours to payroll after approval. From a business and legal standpoint, Patriot’s Time & Attendance Software will help you meet recordkeeping requirements. It’s an online system, accessible from anywhere with internet access 24/7: No software installations, maintenance upgrades, data backups and restores, or time clock system repairs.

Yes. Patriot’s Time and Attendance Software comes with the standard “over 40 hours/week” overtime rule already set up, along with California overtime and double-time rules for companies with employees who work in California. You can also set up your own custom overtime rules to meet state, local, or company regulations.

Yes! You can create custom overtime rules to match your company, state or local overtime regulations.

To use Patriot’s Time & Attendance Software, you must also use one of our online payroll options as the base component. Employees can enter their time worked in MY Patriot, our Employee Portal module, is included for free with any payroll service.

If you already use one of Patriot Software’s online payroll options, you can add the Time & Attendance Software online by logging into your account and visiting the Add or Cancel Software page. If you’re a new customer, you can select it during the sign-up process. You will receive your first month free!

Patriot’s Time & Attendance Software has a “Time Summary Report” which will allow you to report on any date range, employees, and hours types.

Patriot’s HR Software is an online software that helps you manage your employee information in an easy-to-use format, from anywhere there’s an internet connection. Patriot’s HR Software is an add-on module to our online payroll system, and can’t be used as a standalone product.

With Patriot’s HR Software, you can easily keep track of your employee information, job history, employment dates, emergency contacts, notes, electronic file attachments, and managers.

With Patriot HR, you can use the Demographics report to easily find all the information you need for EEO-1 or VETS-4212 reporting.

Document Storage allows you to scan, upload, and store electronic files, thereby reducing the amount of paper files you need to keep at your office. This is very useful for employee personnel file items and other items you routinely file. All major file formats can be stored including .doc, .xls, .pdf, .txt, HTML, .gif, .jpg, and .tif images. These files can then be accessed from anywhere you are able to access Patriot’s HR Software online.

Patriot’s HR Software will have census reports including employee statistics, such as birthday and anniversary dates, new hire reporting, and retirement plan contributions. We are adding new reports with every release of the software. See the complete list of HR Reports.

This is Patriot Software’s employee self-serve portal specifically designed for the small business customers who have our online payroll options.

With the employee portal, your employees can access an electronic time card, plus their pay history, federal withholding info, and employer documents that you choose to share. And depending on the add-ons you select, the employee self-serve software can greatly simplify your workday.

You can stop shuffling paper. Drowning in paperwork? Frustrated by printing costs? Interested in offering direct deposit? The employee portal can help. Employees can view and print pay stubs, complete an online version of the W-4, or manage their personal banking info for direct deposit.

You will send a portal registration invitation email to each employee. They will then create their own username and password. Employees will log in to the employee self-serve software at www.mypatriot.com. Then, depending on the Patriot add-ons you’ve selected, your employees can perform various functions. They can enter their hours on an electronic time card, print a pay stub, designate part of their pay to their savings account, or find answers in their employee handbook.

Your employees can view paychecks, print pay stubs, view their electronic W-2, edit their personal information, tax withholding and direct deposit details. You can add on more functionality with Patriot’s Time and Attendance and HR Software, including an electronic time card and an online repository for important documents you want to share.

Technical

While employees can enter their own time worked on the electronic time card if you have Patriot’s Time and Attendance Software, only you have access to the payroll application. Employees cannot generate their own paychecks. They can print paystubs and view paychecks but only after you have run the payroll.

No. All Patriot Software programs are online. All your employees need is a computer or device with Internet access. Employees can then easily view payroll information, update their W-4, view their W-2, and print paystubs in their employee portal.

Your employees can have username reminders and password reset instructions emailed to them on their portal login page. Your employees also have the ability to change their password.

You must be a customer of Patriot Software’s online payroll to offer the employee self-service portal to your employees. However, for more features, consider adding on:

Patriot’s Time and Attendance Software — employees can enter their own time worked.
Patriot’s HR Software — employees can access documents that you upload and share, like a company handbook, insurance details, and company schedules. They can also keep emergency contact information up-to-date.

If you add on Patriot’s Time and Attendance Software, your employees can enter their own hours or time worked on the electronic time card in their employee portal. Hourly employees can enter their time in and time out each day including lunch and other breaks. Salary employees can enter the total time worked for the day. At the end of the pay period, employees approve the electronic time card.

Then, log in to your Patriot Software account, approve the time cards, and send them to payroll with the click of one button!
