What to do if an Employee’s W-2 Form comes back “Undeliverable”?

As an employer, you must make a “reasonable effort” to deliver W-2 forms to your employees. So, what do you do if a terminated employee’s W-2 comes back to you undeliverable, and you do not know his/her new address?
- Make sure you mailed the W-2 form to the last known address of the employee. As long as you have done this, you have made a “reasonable effort.”
- Keep a copy (paper or electronic image) of the W-2 on record for four years.
